Administrative Specialist [Philippines]


 

QUALIFICATIONS AND NEEDED WORK EXPERIENCE

- Minimimum 2 years relevant experience as an Executive Assistant, Administrative Assistant or in other secretarial position

- Full knowledge of office management systems and procedures

- Good planning and time management skills

- Adept in MS Office

- Ability to multitask and prioritize daily workload

- Good verbal and written communications skills

- Strong Attention to details

- Previous experience in Logistics industry is an advantage

- Knowledge in cargo importation process is an advantage

DUTIES AND RESPONSIBILITIES:

- Provide admin support to the team and department

- Perform data-entry, documentation, printing and filling as required

- Maintain a proper and user-friendly filing and document control system for recording and tracking all documents

- Support peers in daily admin roles and to keep stock stationary supplies for department

- Put up purchase requests for all approved purchases for the necessary approvals and verify invoices for the raised purchases upon delivery of goods and services

- Perform some research duties when required

- Produce professional-quality reports, presentations and briefs as required

-Monitor office supply levels; reorder when appropriate

- Maintain strong relationships with vendors and keep peice data in order to get the best pricing on supplies and services

- Arrange executive travel, hotel and dining arrangements as needed

- Handle requests, feedback, and queries quickly and professionaly

- Maintain a daily electronic journal, arrange meetings and appointments and provide reminders as needed; maintain a master corporate calendar of all conferences, all-hands events, holidays, and vacations

- Primary point of contact between the executives and internal/external clients

- Manage importation activities, coordinate with Shipper and Broker and update importation checklist.

Job Type: Full-time

Schedule:

  • 8 hour shift

Supplemental pay types:

  • 13th month salary
  • Overtime pay

Ability to commute/relocate:

  • Taguig City: Reliably commute or planning to relocate before starting work (Required)
